Order taker

Reads every order as it lands on WhatsApp and turns it into a priced line. Automatic, no retyping.

Order taker reads a wholesale order the moment it lands on WhatsApp: text, a photo of a list, or a voice note. It matches each line to the wholesaler's own catalogue and prices it at that customer's own rate. Anything it is not sure of, it holds and asks. Nothing is guessed.

A kitchen types what it always has - half a name, a local word, no unit. The order does not need to get tidier. Order taker is built to read it as it is, against the products this wholesaler actually sells.

How it works

  1. 01The order arrives however it always has: WhatsApp text, a photo of a handwritten list, a voice note, or a call typed up by hand.
  2. 02Each line is matched to the wholesaler's own catalogue, using the words that kitchen actually uses for it.
  3. 03That customer's own price is applied automatically. Never a generic list price.
  4. 04Anything it cannot place with confidence is held in its own lane and asked back on the same thread, not guessed.
  5. 05The priced order joins the buy list, the picking sheet and the round. Nobody retypes it.

What it looks like when it cannot place a line

The system stopping on a line it will not guess at: 2 skrzynki pomidorów, read as Polish for boxes of tomatoes with the type and grade not stated, the quantity already read, and a box for a person to name the product.
Held back for a person to name, not guessed at

What it replaces

Order taker replaces typing the order up a second time. No copying it out of WhatsApp into a book or a system by hand. The order is read once, matched once, and priced once.

What it works with

  • WhatsAppOrders arrive exactly as they do today. Nothing changes for the customer.
  • Your AI agentReads every message and holds back anything it is not sure of, for a person to name.
  • Price setterEach matched line is priced at that customer's own rate, automatically.
  • Buy listA priced order joins the day's buy list with nothing retyped.

Plainly

What it will not do on its own

  • It will not guess a product it has never seen. It asks.
  • It does not read a phone call by itself. Someone still types up what was said.
  • Automatic WhatsApp replies are waiting on approval from Meta. Sending by hand works today.
  • It never mixes grade tiers on its own. Class II is not offered when Extra Class was ordered.

What it replaces

Typing the order up a second time, from the WhatsApp thread into a book or a system.

Time it saves

Say forty orders come in on a busy night. Even two minutes each to read and type up by hand is the best part of an hour gone before the round is even planned.

Worth in money

Say that hour is a member of staff on £12 an hour - about £12 a night, or above £70 across a six-night week, just for typing that no longer happens.

Questions people ask

Does the customer have to install anything?
No. They keep sending orders exactly as they do now, on WhatsApp. They never see an app, a login or a portal.
What happens to an order it cannot read?
It is held in its own lane and asked back on the same WhatsApp thread. Never guessed, never dropped.
Can it read a voice note or a photo of a list?
Yes. A voice note is written down, and a photo of a handwritten list is read. Both are matched to the catalogue the same way free text is.
Does it learn a customer's own words for a product?
Yes. It learns the words a kitchen uses, like 'toms' for tomatoes or 'skrzynki' for boxes, and matches them to the same catalogue line every time.
