Bespoke software

You don't need a full ERP. You need the slice that runs your night.

ERP means the whole business, finance and HR included. Most food wholesalers need the order-to-cash part built well, connected to the accounts package they already run.

Custom ERP for wholesalers usually means software built to run the whole business - orders, stock, pricing, finance and reporting - to that wholesaler's own rules rather than a generic template. Most food wholesalers with a handful of vans need a working slice: order-to-cash, built around their own book, not a full system designed for manufacturing or multi-site retail.

ERP - enterprise resource planning - was built for organisations with several sites, a production line, and finance and HR departments each running their own set of rules. A full ERP tries to hold all of that in one system: general ledger, fixed assets, HR records, manufacturing planning, often procurement across several warehouses at once. A wholesaler running six vans out of one unit does not have most of those problems, and already has a perfectly good accounts package handling the general ledger.

What is actually missing is narrower and sharper: reading orders wherever they arrive, pricing each customer correctly, buying and stock against a real cold store, building the round across the vans that exist, proving the drop, and invoicing on what actually went out. That is the slice worth building custom, and it is a fraction of what a full ERP tries to do.

What the system is actually counting

The useful slice, in order

  1. 01Order capture and matching - every channel an order arrives on, read into priced lines against the wholesaler's own catalogue.
  2. 02Customer-specific pricing - a fixed price, a markup, a discount or a market rate, held per customer rather than one list price for everyone.
  3. 03Stock and buying - what is actually in the cold store, and one buy list split across the suppliers who carry each line.
  4. 04Routing and proof of delivery - the round built across the vans that exist, and each drop proved rather than promised.
  5. 05Invoicing that stays connected to the accounts package already in use, raised from what was actually delivered rather than what was ordered.

Plainly

What it will not do on its own

  • It is not a general ledger or a full accounts system - the accounts package stays exactly where it is, and this raises invoices into it.
  • It does not run payroll, HR records or fixed-asset accounting - the parts of a full ERP most wholesalers never open.
  • It is not a multi-site manufacturing planning tool - it is built for one operation's own order-to-cash night, not a production schedule across several sites.

Questions people ask

What does ERP mean for a wholesaler?
ERP stands for enterprise resource planning - one system meant to run a whole business, from finance and HR to supply chain and manufacturing. It was built for large, multi-site organisations, and most of what a full ERP covers has no equivalent in a food wholesaler with a handful of vans.
Does a wholesaler with six vans need a full ERP?
Usually not. A full ERP brings modules for general ledger, HR, fixed assets and often manufacturing planning that a wholesaler this size does not use, while the accounts package it already runs handles the general ledger perfectly well. What is usually missing is the order-to-cash slice: order reading, pricing, stock, routing, proof and invoicing.
What is a custom ERP for wholesalers, then?
In practice it means a custom-built order-to-cash system - order capture, customer pricing, stock, buying, routing, proof of delivery and invoicing - built to one wholesaler's own rules and connected to the accounts package already in use, rather than a full enterprise system replacing it.
Does this replace an accounting package like Xero?
No. The accounts package stays as the book of record. A custom order-to-cash system raises invoices into it from what was actually delivered, and reads back contacts and aged debt, sitting beside it rather than replacing it.
